This policy explains what information The AEO Loop ("we", "us") collects when you use theaeoloop.com, how we use it, and the choices you have. We keep data collection to the minimum needed to run the scanner, deliver your Gap Report, and respond to you.

Information we collect

• Scanner form: your name, professional email, company name, website, city/region, and area of operation.
• Contact form and booking: your name, email, company, and any message or scheduling details you provide.
• Technical data: standard server logs (such as IP address, browser type, and timestamps) recorded by our hosting and security providers, plus a bot-protection check on the scanner form.

How we use it

• To run your scan and to prepare and email your Gap Report.
• To respond to your enquiry and, if you ask, to schedule and hold a call.
• To follow up once about your results, and to operate, secure, and improve the service.

We do not sell your personal information, and we do not send unsolicited marketing beyond a single follow-up about your scan.

Service providers we share data with

We rely on trusted third parties to run the service; they process data on our behalf and under their own privacy terms:

• Hosting: Vercel.
• AI model providers (sub-processors): to run your scan, your company name, website, area of operation, and location are sent to OpenAI (ChatGPT), Google (Gemini), xAI (Grok), and Anthropic (Claude). Your Gap Report draft is also generated using an AI model (Anthropic / Claude). Your name and email are never sent to any of these providers. Each provider processes this data under its own terms.
• Lead storage: Google (Sheets / Apps Script).
• Email delivery: Resend.
• Scheduling: Calendly (only if you book a call).
• Bot protection: Cloudflare Turnstile.

Data retention

We keep scan and enquiry records for as long as needed to follow up and operate the service. You can ask us to delete your information at any time.

Your choices and rights

You can request a copy of your data, ask us to correct it, or ask us to delete it — just email contact@theaeoloop.com. Depending on where you live (for example under GDPR or PIPEDA), you may have additional rights, and we will honour them.

Security

API keys and credentials are stored server-side and are never exposed to your browser. The site is served over HTTPS. No method of transmission or storage is perfectly secure, but we take reasonable measures to protect your information.

Children

The service is intended for businesses and is not directed at children.

Changes to this policy

We may update this policy from time to time; we will change the "last updated" date above when we do.
